1. Who we are
TradeHarbour provides AI receptionist and call-handling services to trades and contractor businesses in the United Kingdom. This policy explains what personal information we collect and how it is used.
2. Contact-form data
When you submit an enquiry we collect your name, business name, trade, telephone number, email address and the answers you provide about your call handling. We use this information to contact you about your enquiry, prepare a demonstration and assess eligibility for a pilot.
The lawful basis for this processing is normally legitimate interest in responding to a business enquiry, and your consent where you have given it.
3. Call information, transcripts and recordings
Where the service is active, calls made to a configured business number may be processed to identify the caller's requirements, capture contact details, produce summaries and, where enabled, produce transcripts and translations.
Call recordings, transcripts and summaries may be stored where the configuration and your instructions require it. The business receiving the calls is normally the data controller for its customers' information, and TradeHarbour acts as a processor under a written agreement. Callers should be informed that calls may be recorded or transcribed where this applies.
4. Cookies and analytics
This website may use cookies and analytics tools to understand how visitors use the site. See the Cookie Policy for further detail and for how to control cookies.
5. Third-party service providers
We use third-party providers for website hosting, database storage, telephony, speech processing, translation, calendar integration and email delivery. These providers process data on our instructions under appropriate contractual terms. A current list of providers can be requested using the contact details below.
6. Data retention
Enquiry data is retained for as long as needed to respond and to keep a record of business communications, unless you ask us to delete it. Retention periods for call data, recordings and transcripts are agreed with each customer during configuration and can be shortened on request.
7. Your rights
Under UK data protection law you may request access to your personal data, correction of inaccurate data, deletion, restriction of processing, portability, and you may object to certain processing. You can also withdraw consent at any time and complain to the Information Commissioner's Office.
8. Security
Enquiry submissions are stored in an access-controlled database. Access is limited to authorised administrator accounts, and submitted information is never displayed publicly.
